Have you remembered these costs?

I am currently putting the finishing touches to a training room we have had built. When we had the quote from the builder he allowed 5% extra for contingencies. They have done a good job and handed it over ready for carpets and furniture – so basically ready for use. It had been suggested that I do my own painting, but how much would that have delayed the carpet tile laying? A client came and did the next working day after the builders had finished so we could be closer to the use of the room and getting our ‘return on the investment’. I know, technical terms creeping in, but in this context, I am sure you know what I mean. Being able to hold courses without the cost of hiring rooms – or the inconvenience of using the dining table if there was only one booking!

bill view pennyWell, of course, then there are the extras. The carpet tiles, and their fitting; the matching set of furniture, a white board with new pens, board rubber and tray; a surge protected power block so that attendees could recharge their phones; a rubber cable cover (with yellow stripes) to cover the cable to the power block; the fan to keep us cool; the blackout blinds to allow use of a projector – oh yes, and the projector. Not to mention the ashtray for outside so smokers don’t need to use the flower beds.

And so the list goes on. We have posted the scheduled courses on Eventbrite. The benefit being that we only pay when a ticket is sold – not for the advertising. So, yet another cost, that of handling the booking. I am happy to outsource the collection of money as I won’t be chasing payment of invoices the day before a course. I am writing this on a train to an on-site training course. They paid on-line yesterday although they had received the invoice a couple of weeks ago when they booked. They knew exactly why I was phoning yesterday. This is not the first time this has happened.

So costs yet to come are teas, coffees, sandwiches, paper for course handouts (already purchased). At least the volume of these is covered within each place sold on the course.

Birmingham-20121029-00115And the fact is, that I will need to go through a similar exercise with all the add-ons for the Business Show at Olympia in November, and the on-line courses I am currently writing. In fact everything has costs that need paying but are not immediately obvious.
